TAN Procedure

Transaction authentication numbers, TANs for short, are used to confirm operations in applications within the TU portal requiring extra security (also known as two-factor authentication [1]). Three different TAN procedures are in use:

  • The TOTP procedure uses a smartphone app that continuously generates TANs as needed after initial installation. This is the simplest and most secure option and offers several advantages:
    * can be used offline (no internet connection or cell phone service required)
    * can be used abroad
    * compatible with all smartphones
    * free
  • The mTAN procedure uses your cell phone and generates the TAN needed for the operation, texting it to the registered device. Due to the high traffic some mobile network providers experience at peak times, you may not receive the mTAN in sufficient time to log into our services. Campus Management considers the mTAN procedure to be outdated and prone to failure. We recommend using TOTP as the standard procedure for two-factor authentication.

The iTAN procedure uses TANs and index numbers on printed or digital lists. Due to the benefits listed above, we recommend using the TOTP procedure.

TOTP procedure (recommended)

Students can register for the TOTP procedure while completing the provisioning process. However, all users can also choose to use the TOTP procedure at a later date. This requires you to install a TOTP app on your phone and then activate the procedure in the TU portal.

All future logins will require you to have your username/password as well as a TAN generated by the app. The app creates a new TAN every 30 seconds, making it even more difficult for unauthorized persons to acquire a valid TAN.

Depending on your smartphone model, we recommend the following apps:

1. After installing one of the apps listed above, log into the TUB portal and select My Data > My Profile > TANs verwalten > TOTP verwalten.

2. Click on Neuen Schlüssel erzeugen (Generate new key).

3. Open the app and scan the QR code.

4. Enter the 6-digit code to confirm the operation and activate the procedure.

5. Please note that for security reasons, the app generates a new number every 30 seconds. [4]

Disabling the TOTP procedure

If you would like to undo the activation, click on Disable TOTP in the TU portal.

In case of loss or theft:
If your phone is stolen or lost and you are no longer able to log in, you can disable the TOTP procedure from outside of the portal. Simply go to www.tu-berlin.de [10] and click on Login. When the login page appears, click on the link disable TOTP at the bottom.

Please note:

Once you disable the TOTP procedure, you will revert back to using the TAN procedure you previously activated.

For example, if you previously used the mTAN procedure before TOTP, this will automatically be reactivated. If you previously used a TAN list, then this list will once again be valid.

If you have only ever used the TOTP procedure and disable it, then you must use a TAN list. You can collect this in person at the Campus Center (students) or the IT Service Desk (staff) or via WebIdent. See also TAN list lost or prematurely disabled.

mTAN procedure

You can register for the mTAN procedure during the provisioning process or at a later point in the TU portal. To activate the mTAN procedure, register your current mobile number in our system. To confirm the phone number, you will receive a test text message at the end of the registration procedure.

Every time you want to use a protected application in the TUB portal, a valid TAN will be texted to your phone within seconds, which you must then enter.https://www.campusmanagement.tu-berlin.de/?74276 [15]

Managing the mTAN procedure

Step 1: In the TU portal click: My Data > My Profile > TANs verwalten > Mobile-TAN verwalten.

Step 2: If your account shows the message “Das Mobile-TAN-Verfahren ist ausgeschaltet” (The mobile TAN procedure is disabled), enter your mobile phone number and register it for the mTAN procedure by clicking on mTAN aktivieren (Activate mTAN).

Password reset option

https://www.campusmanagement.tu-berlin.de/?74276 [17]In the mTAN application in the TU portal, you have the option to use the mTAN procedure if you forget your password.  To activate this feature, please select mTAN für Passwortrücksetzung aktivieren" (Activate mTAN for password reset) and enter a security question and answer (ideally only something you yourself know). Should you forget your password, you can request an mTAN HERE [18] which will be sent to your registered device. You must enter this mTAN and answer the security question correctly to change the password.

Please note: If you do not provide a security question, you will be asked about your date of birth. [19]

If you would like to undo the activation, click on disable mTAN in the TU portal.

From this point on, you have the option of using your old TAN list. [21]

Changing your mobile number

Step 1: To register a new mobile number, log into the TU portal and go to My Data > My Profile > TANs verwalten > Mobile-TAN verwalten and change the phone number. Finally, click on Mobilfunknummer ändern (Change mobile number). If you no longer use a phone number, you can first disable the mTAN procedure and re-activate it for your new number using your old TAN list.

Step 2: To register, an mTAN will be sent via text message to your cell phone which you must then enter in the next step.

Step 3: You will receive a message as well as an email confirming successful activation. After this any mTANs you request will be sent to the registered device. It is not possible to use both an old TAN list and the mTAN procedure at the same time. [23]

Step 1: In the TU portal, click My Data > My Profile > TANs verwalten > TAN-Listen verwalten if you want to disable your TAN list or request a new one.

Step 2: In the upper part of the next window, you will find the following information:

You can view the number of TANs you have used in the TU portal here: My Data > My Profile > TANs verwalten > TAN-Listen verwalten > Verbrauchte TANs anzeigen (View used TANs)

Disabling a TAN list

You can disable your TAN list in the TU portal under My Data > My Profile > TANs verwalten > TAN-Listen verwalten > TAN-Liste sperren (Disable TAN list). This operation renders the TAN list invalid and cannot be undone.

Please note: If you disable your TAN list, you can no longer undertake any operations requiring a TAN.

Generating a new TAN list

You can generate and print a new TAN list from the TU portal by going to My Data > My Profile > TANs verwalten > TAN-Listen verwalten > Neue TAN-Liste erzeugen (Generate new TAN list). 


Attention: To do this, you require at least two TANs from the current list. After you generate a new list, any previous lists will be disabled. [32]

TAN list lost or prematurely disabled

If you have lost or disabled your TAN list, you will receive a new active TAN list.

  • In person:Staff can collect a new list from Room EN 024 in Campus Management, and students from the Campus Center.
  • Via WebIdent: If you are unable to collect the list in person, you can use the WebIdent procedure instead. We will confirm your identity via video and provide you with a one-time password enabling you to generate a TAN list.
    You can flexibly complete the WebIdent from anywhere. All you need is a computer, smartphone, or tablet with a fast internet connection and a web camera.
    You also require a photo ID (identity card or passport).

    To complete the WebIdent procedure, call our IT hotline at +49 30 314 28000, Monday to Friday, from 10-16:00.

  • If you are able to see yourself on this page, call us.
  • A Campus Management employee will begin the video session.
  • To confirm your identity, please hold your ID up to the camera and follow the employee’s instructions so that they can see the security markings.
  • You will then be given a one-time password in the chat which will allow you to do the following:
    1. Reset your password
    2. Generate a new TAN list [35]
